what are the snapshot sessions, live sessions, 1-on-1 meetings, & resource sessions?

September Virtual Event - Registration Opens For Students, Counselors, & Parents
Starting September 14th the Virtual Event Registration Opens, and you and your students are welcome to start logging into the event to start liking profiles, researching exhibitors, and scheduling live sessions for the “Live” Event that begins on September 21st.

Snapshot Sessions  - We highly recommend these sessions to resemble the  "In-person fair experience"  to start the week!
On Monday afternoon only, we will offer a quick intro of all exhibitors for the week.  These “Snapshot Sessions” will allow students to quickly see 10 - 15 +/-  institutions in one 30 minute session.  We will offer these sessions by types of colleges grouped together, and we encourage you to allow students time out of class to attend these “SnapShot Sessions” especially if they are unsure what they want to do after high school.  These quick touch sessions to start to the week will allow students to then choose their next days ahead of their favorite “live college sessions.” *Check online for the detailed schedule of groupings a week before the event.

Live Sessions
On Tuesday, Wednesday, Thursday, & Friday, we will be offering these group live sessions via Zoom for students, counselors, parents to schedule.  Students do not have to show their face.  You are welcome to simply attend to hear live updates.  However, most sessions will have the "Chat" function open for live questions.  These will be offered in the time-blocks shown above, and colleges will schedule these their openings on their individual profiles.  Scheduling happens by visiting the profile.  Most of these sessions will have unlimited space to attend, however, if attendance is very busy and the sessions happens to meet capacity, we encourage students to see the exhibitor's additional session times and attend another time.  Most sessions will have unlimited capacity.  But we encourage students to reserve and save their place as soon as possible once registration opens.

*Important Notice:
If you as the counselor are planning to project this particular sessions in a classroom or gym for many students to watch, please encourage your students to also sign up for these sessions on their own too, so that the colleges can see that they are interested and attending, and then are able to connect to each student's information/contact to send them more information after the event.

1-on-1 Meetings
On Tuesday, Wednesday, Thursday, & Friday, we will be offering these more personal meeting options for students, counselors, parents to schedule.  These will be offered in the time-blocks shown above, and colleges will schedule their openings on their individual profiles.  Scheduling happens by visiting the profile.  Exhibitors may have limited offerings for this, so we encourage your students to sign up early to secure a spot.  These will fill on a first-come-first serve basis.

Counselor Sessions
In the mornings on Tuesday, Wednesday, Thursday, & Friday,  we will be offering these sessions to help you as counselors.  These will include sessions such as:  Financial Aid Help / Q&A, Virtual Event Help, College Application Week Overivew/Q&A, Montana School Counselor Association Gathering, Scholarship Updates, etc.  Check back for a more detailed schedule of offerings.  These sessions will be offering incentives and little prizes, as a thanks to you as our prized Montana Counselors!

Resource Sessions
On Friday, we will be offering these sessions to help you as counselors, students, parents, etc. connect with wonderful tools, resources, & agencies helping with the educational process.  These will include sessions such as:  American Indian College Fund, GEAR UP, Montana University System, Office of  Public Instruction, Financial Aid Help, Counselor Update Session, College Application Week Overview/Q&A, Montana School Counselor Association Gathering, Scholarship Updates, etc.  Check back for a more detailed schedule of offerings.  These sessions will be offering incentives and little prizes, as a thanks to you as our prized Montana Counselors!

Online College/Exhibitor Profiles & Video Library
Starting a week before the "LIVE" event, students, counselors, parents, etc. are welcome to utilize the online profiles, watch pre-loaded videos, brochures, & other information during these days before, during, & after the event.  If a student likes a profile or watches a pre-loaded video during this time, the exhibitors will still see that contact and reach out to students who visit their pages before, during, & the weekend after the event.

How should I promote this event to students?
Here are few ideas!

Picture

IDEA OPTION 1 – offer options for Monday afternoon intro sessions & then Pick Your "1" Main School Fair Day!

Picture

September 14th  - 20th   |  Virtual Fair Event – Registration Open
Starting September 14th the Virtual Event Registration Opens, and you and your students are welcome to start logging into the event to start liking profiles, researching exhibitors, and scheduling live sessions for the “Live” Event that begins on September 21st.

September 21st   |  Monday Virtual Fair Intro Day - SnapShot Sessions

We highly recommend these sessions to resemble the  "In-person fair experience"  to start the week!
Monday Morning | Final Registration – This final block of registration time is for students to use your facilities / computer labs & search exhibitor profiles & schedule sessions for the week ahead.  Monday Afternoon  | Quick SnapShot Sessions – This afternoon will offer a quick intro of all exhibitors for the week.
*Recommendation – Some counselors have mentioned that these sessions would be great to project on a screen with a speaker in the gym or large space, so groups of students could watch the sessions.   Also, these sessions run through the evening, so this may we a great option to keep these sessions running after school hours for students/parents to attend if they would like.

September 22nd  – 24th   |  Tuesday, Wednesday, & Thursday  | Live Sessions & Meetings  |  To limit this event’s impact on your school day, one option could be to pick just 1 of these days as “Your Chosen School Virtual Fair Day.”
All exhibitors will be presenting on each of these 3 days, so choosing one of these days will still have all the exhibitors represented in sessions for students to connect no matter what day you pick.  By picking just one day as “your day,” you limit the time that students and classes will be impacted and also it equals less work with your faculty and staff to allow students out of class.
*Recommendation –  Some counselors have talked about designating a place for students to safely gather within your COVID-19 plan.  For instance, maybe having students check out of class to gather in the gym or in other large spaces to watch live sessions on their cell phones, in the computer labs, on their own laptops, etc.  If a student would like to attend sessions on the days you did not pick, they are still welcome to attend, and you could handle these on a case-by-case basis to let individual passes out of class on the other days too.  Feel free to work with the in-school blocks and out-of-school blocks of sessions.  Some counselors are planning to offer both in-school and out-of-school times for students to attend sessions at their high school (and feel free to invite Parents too!).

September 25th   |  Friday – Mixed Sessions - Resource Sessions, College Sessions, & 1-on-1 meetings
Friday is the final official day of the event.  This day will be mix of all kinds of sessions to close the week out.  There will be several great sessions about resources, financial aid, career services, scholarships, etc.  We encourage you to look at the schedule and your promote any sessions you feel would be best for you and your students.
*Recommendation – We do not recommend you picking this day as your main 1 “School Virtual Fair Day, or your students will miss out on many colleges/exhibitors that do not choose to offer sessions on this day.  These resource sessions would be a great opportunity to show over a projector in the gym or a large room.  Also, you could simply let students pick and choose what they are interested in this day and maybe offer class passes to go to the gym or lab to watch the session or do a 1-on-1 meeting.

Saturday 26th  – 27th  |  Saturday / Sunday – Online Event Still Open
Students are still welcome to utilize the online profiles, watch pre-loaded videos, brochures, & other information during these days after the event.  If a student likes a profile or watches a pre-loaded video on these days, the exhibitors will still see that contact and reach out to students who visit their pages on the weekend too.  There are no live sessions or meetings on these days.
Picture

IDEA OPTION 2  – OFFER OPTIONS FOR MONDAY AFTERNOON INTrO SESSIONS & THEN Pick A Multi-Day Fair Experience!

Picture
September 22nd  – 24th   |  Tuesday, Wednesday, & Thursday
Live Sessions & Meetings  |  Create Your Own Schedule To Promote

All exhibitors will be presenting on each of these days, so if one day/time does not work, a student could attend a different day/time.  Feel free to promote the schedule in any way you feel works best.  *Recommendation –  Some counselors have talked about designating a place for students to safely gather within your COVID-19 plan.  For instance, maybe having students check out of class to gather in the gym or in other large spaces to watch live sessions on their cell phones, in the computer labs, on their own laptops, etc.

what does the virtual platform offer?

THIS VIRTUAL PLATFORM WILL HELP easily search options after high school in one location, offer live sessions to connect, &  build relationships with professionals at those INSTITUTIONS.

Picture
Picture
These events provide the opportunity for institutions to interact with prospective students, counselors, parents, & beyond. At these events, students, counselors, parents, etc. will be able to:

1 - Schedule meetings with specific members of an institution.

2 - Attend LIVE Zoom sessions on specific topics including academics, financial aid, student affairs, student life, and more by institutions.

3 - Build relationships with institutions in a digital setting.

4 - Students easily filter, sort, like, and save institution profiles & information to their "student portal" to find institutions that fit what they are seeking.

5 - Students have the ability to browse pre-recorded videos that have been uploaded by institutions.  This provides further opportunities for prospective students to get-to-know institutions and be able to go back on their own time to continue to learn about an institution.

Having multiple ways to connect offers higher levels of engagement between students and institutions to help build relationships, grow engagement, and ensure quality interactions even within the virtual world.

STUDENT DIRECT TEXT MESSAGING / email REMINDERS FOR LIVE SESSIONS

Picture
1 - From the moment a prospective student registers for the virtual event, they start receiving hyper-personalized email and text message communication to keep them informed and updated with times/events/etc.

2 - These communication flows are personalized to each student and provide them the information needed for their virtual experience in a smooth, efficient, & clear way to connect.
